General fund encumbrance letters files, 1977-[ongoing].

According to the Alabama Administrative Code, 355-1-1, "The Division of Control and Accounts is responsible for maintaining all books, records and accounts of the State Treasury which relate to the finances of the State government." These records are used to determine the amount of money to be encumbered for the payment of outstanding obligations of each department at the end of the fiscal year. These files contain the Control and Accounts Division's copy of the End-of-Fiscal-Year Encumbrance Request (GS-3-8), and printouts showing open purchase orders for the end of the fiscal year. Information in the files includes purchase order numbers, amount due, and payees for outstanding bills of state agencies.
